Packaging Instructions

For Returning Photon Instruments to Factory

If you no longer have the original packaging for your beam profiler, you may obtain shipping containers and foam inserts from Photon at a nominal charge.

Please follow the guidelines below when returning equipment to Photon for repair or calibration to reduce the potential for shipment damage.

  1. Call or email (800.374.6866 or beam@photon-inc.com) Photon to obtain an RMA (Return Material Authorization) number before shipping the equipment, and make sure RMA number is on the label and/or packing slip.
  2. Return all functional components for all models of the following instruments:
    1. NanoScan—Scanhead, controller card (if it's not USB), and cables
    2. BeamScan—Scanhead, cables and controller
    3. Goniometric Radiometer (LD 8900 Series)—Scan unit, motion controller, cables, controller card; PCI version include PCI card cable and controller box
    4. BeamPro Cameras—Camera, cable and controller card
    5. USBeamPro / FireWire BeamPro—camera and cable
  3. Cap and bag the scan head or camera to prevent dust or particulate matter from settling on the detector. Then pack instrument using foam inserts or protect with bubble wrap
  4. Control electronic modules should be bagged or wrapped and then supported by 2-3 inches of dense foam on all sides within the shipping container. Do not use Styrofoam "popcorn" as it will not provide adequate protection against shifting during shipment.
  5. Seal individual electronic PC boards in anti-static bags and protect with ample bubble wrap.
  6. When possible, use a single container to ship all above items being returned for service.
  7. Where applicable, include:
    1. A copy of the purchase order. For faster service include a PO for Not to Exceed (NTE) $1500 for NanoScan, BeamScan or BeamPro, NTE $2000 for Goniometric Radiometers. We will contact you with actual service cost for approval. There is a diagnostic/inspection charge if you decide not to have the system repaired. When you call for your RMA, please ask the representative about the charge for your instrument.
    2. A completed Troubleshooting Check List or detailed description of the malfunction, along with the return address and telephone number of the technical contact, and other appropriate documentation.
  8. International Customers—Be sure to mark the shipment with the words "US Goods Returned for Repair" to ensure that they will not be held up in Customs. Non-US customers will need to make payment before the system can be returned unless the repair is arranged through Photon's local distributor. See Contacts for contact information for local distributors. Some distributors have local, factory-authorized service centers for many Photon products.
  9. The package should be addressed to:

  10. All shipping-related costs must be prepaid. Please ensure that the Photon-issued RMA number is on the shipping label and/or packing slip.
